Praetorian Studios Inc. (“Praetorian,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, store, disclose, and protect information in connection with our website, communications, prototype demonstrations, research activities, and Pathfinder XR, our clinician-guided virtual reality platform.

Pathfinder XR is being developed as a clinician-guided virtual reality tool intended to support established trauma therapy workflows in controlled clinical or institutional settings. It is not intended for unsupervised consumer use, self-directed treatment, emergency care, or crisis response.

1. Scope of this Policy

This Privacy Policy applies to:

  • Visitors to our website

  • Individuals who contact us through email, forms, events, or business communications;

  • Demonstration users, research participants, clinicians, advisors, and institutional contacts, where applicable;

  • Users of Pathfinder XR prototype or demonstration software, including Meta Quest-based applications, where applicable.
     

This policy does not replace the privacy policies, consent forms, clinical intake documents, research ethics documents, or institutional policies of clinics, hospitals, universities, public agencies, or other partner organizations.

2. Information We May Collect

Depending on how you interact with us, we may collect the following categories of information:

Contact and business information

Such as your name, email address, phone number, organization, role, and any information you provide when contacting us.

Website and technical information
Such as device type, browser type, IP address, website usage data, cookies, analytics data, and similar technical information.

Product and prototype feedback
Such as usability comments, interview responses, survey answers, demonstration feedback, bug reports, and technical observations.

Device and application information
Where applicable, Pathfinder XR may process basic device or application information needed to operate the VR experience, such as headset/application status, session state, software version, technical logs, or performance data.

Research or pilot information
If Pathfinder XR is used in a research, pilot, or institutional setting, information collection will be governed by the applicable consent forms, ethics approvals, institutional agreements, and study protocols.

3. Health Information and Patient Data

Pathfinder XR is currently designed with a privacy-first approach. At the MVP and prototype stage, our intended approach is that Pathfinder XR does not collect, store, or retain identifying patient health information through the application.

Where Pathfinder XR is used in a clinical, research, or institutional setting:

  • Any patient or participant information should be handled by the responsible clinician, researcher, or institution;

  • Praetorian Studios Inc. should not receive identifying patient information unless specifically required under a written agreement, approved protocol, or applicable law;

  • Any clinical, research, or institutional use may require additional privacy, consent, ethics, regulatory, or data-sharing documentation.
     

Pathfinder XR is designed as a clinician-supervised support tool, not a standalone treatment. Current project materials also state that no identifying patient data is captured in the intended early workflow.

4. How We Use Information

We may use collected information for the following purposes:

  • To respond to inquiries and communications;

  • To operate, maintain, test, and improve our website and software;

  • To support product development, usability testing, research preparation, and technical validation;

  • To manage demonstrations, events, and stakeholder engagement;

  • To assess safety, usability, performance, and workflow fit;

  • To meet legal, regulatory, security, contractual, or platform requirements;

  • To comply with Meta developer, application review, and platform requirements where Pathfinder XR is distributed or tested through Meta platforms.
     

5. Meta Quest / Meta Platform Data

If Pathfinder XR is accessed through Meta Quest, Meta Horizon, App Lab, internal testing, or another Meta platform pathway, the application may process limited data necessary for application operation, platform compatibility, testing, or compliance.

Praetorian Studios Inc. will only process Meta user data, device user data, or platform data as described in this Privacy Policy and as permitted by Meta’s applicable developer policies. We do not sell Meta user data.

6. Cookies and Website Analytics

Our website may use cookies, analytics tools, or similar technologies to understand website traffic, improve functionality, and evaluate visitor engagement.

We do not sell personal information.

We may disclose information only where reasonably necessary, including to:

  • Service providers that support website hosting, analytics, communications, software development, or business operations;

  • Research, clinical, institutional, or regulatory partners, where appropriate and subject to applicable agreements;

  • Professional advisors, including legal, regulatory, accounting, or technical advisors;

  • Government, regulatory, law enforcement, or legal authorities where required by law;

  • Meta or other platform providers where required for application review, platform compliance, or technical operation.
     

8. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, unless a longer retention period is required by law, contract, regulatory requirements, research obligations, or institutional agreements.

Prototype, demonstration, or technical data may be deleted, anonymized, or retained in limited form for debugging, safety, usability, or development purposes.
 

9. Data Security

We use reasonable administrative, technical, and organizational safeguards to protect personal information against unauthorized access, loss, misuse, disclosure, alteration, or destruction.

No system can be guaranteed to be fully secure. Users should avoid sending sensitive health, clinical, or patient-identifying information through general website forms or unsecured email.

Depending on your location and applicable law, you may have rights to:

  • Request access to personal information we hold about you;

  • Request correction of inaccurate information;

  • Request deletion of personal information;

  • Withdraw consent, where processing is based on consent;

Praetorian Studios Inc. is based in Canada and intends to handle personal information in a manner consistent with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), where applicable.

We collect, use, and disclose personal information only for identified and reasonable purposes, with consent where required, and subject to appropriate safeguards.

12. United States Privacy Notice

Where applicable, US users may have privacy rights under federal or state privacy laws, including state consumer privacy laws such as the California Consumer Privacy Act / California Privacy Rights Act.

Praetorian Studios Inc. does not sell personal information. If this changes, this Privacy Policy will be updated and appropriate opt-out mechanisms will be provided where required by law.

Pathfinder XR is not currently intended to collect or store protected health information directly from patients. If Praetorian Studios Inc. later handles protected health information on behalf of a US covered entity, additional HIPAA-related agreements, safeguards, and business associate obligations may apply.

13. Children’s Privacy

Pathfinder XR is not intended for children or unsupervised consumer use. We do not knowingly collect personal information from children through the Pathfinder XR website or application. If we become aware that we have collected personal information from a child without appropriate consent, we will take reasonable steps to delete it.

14. International Data Transfers

Information may be processed or stored in Canada, the United States, or other jurisdictions where our service providers operate. Privacy laws in those jurisdictions may differ from those in your province, state, or country.

Where appropriate, we use contractual, technical, and organizational safeguards to protect information transferred across borders.

We may update this Privacy Policy from time to time as Pathfinder XR develops, our website changes, platform requirements evolve, or legal and regulatory requirements change.

The “Effective Date” at the top of this page will indicate when the policy was last updated.
